How to set it up
A weekend adoption event needs one handler per dog for the whole day, and that is the row most sheets get wrong. Post handler shifts in two-hour blocks with a count that matches the number of animals coming, so a handler who can only do the morning takes the morning and the dog still has someone at noon. Around the handlers: drivers to bring crates from the shelter and back, a setup crew for tents, pens and signs, two people at the table taking applications and checking in, and someone with a phone taking the photos that get the next event's crowd.
The mistake is a group post on Friday night asking for 'anyone who can help tomorrow'. One tip: put a short orientation checkbox on the signup, 'I've done the handler orientation', and keep the handler rows for people who have. New volunteers can take the table, the water run or teardown this time and the leash next time, and the page tells them when the next orientation is.
Questions people ask
- We have an adoption event almost every weekend. One page each?
- Build one and copy it. The rows, counts and the orientation question come along, you change the date and the location, and last weekend's handlers can be emailed the new link from the page.
- A handler cancels Saturday morning. How do we find out?
- They cancel from the link in their confirmation and the spot reopens, with a still needed line the rest of the volunteers can see. Pro can lock cancellations in the last 12 hours to a week before a shift, so a morning handler has to text you instead of quietly dropping off.
- Do our volunteers need an account?
- No. Name and email, and the same orientation checkbox each time. They get a confirmation, a reminder the day before, and nothing else. Hours per volunteer add up across events under Hours if your board or a grant asks.
Why not a paper sheet or a Google Form?
A paper sheet lives in one place and fills up with the first people who walk past it. A Google Form takes forty signups for a row that needed two, and you find out in the spreadsheet. An online sign-up sheet closes each row when it's covered, sends a reminder the day before, and gives every person a link to cancel so the spot reopens. See the side-by-side with Google Forms.
