How to set it up

A book sale is a month of Tuesday sorting sessions followed by one long weekend: setup on Thursday with tables and a few hundred boxes, a members' preview Friday evening, cashiers and restockers in two-hour shifts all day Saturday, bag day on Sunday when everything left goes for a flat price, and a teardown that boxes the rest for the recycler. Put all of it on one page, the sorting days as their own list months ahead and the sale weekend as a list per day, with counts on every row.

The mistake is a paper sheet at the circulation desk that only the people who already volunteer ever see. One tip: name the cashier shifts by time and put 'two-hour shift, sitting down' in the row. Cashiering is the job retirees and teenagers both want, and when they can see it is two hours at a table instead of a vague 'book sale help', the Saturday rows fill in a week.

Questions people ask

The Friends board and the library staff both need to see the list. Who owns it?
Whoever builds it adds the others as co-organizers. Everyone sees the same page and the same list, the branch manager can print Saturday's cashier list on Friday, and the sale chair emails the whole group from the page.
Can we require the cash register training before someone takes a cashier shift?
Add a checkbox at signup, 'I've run the register before', and put the training date in the page description. First-timers take a restocking shift this sale and a register shift next time.
We do this every spring and fall. Do we rebuild it?
No. Copy the page, change the dates, and the sorting sessions, the shifts and the bag count come with it. The people who worked the last sale can be emailed the new link from the page.

Why not a paper sheet or a Google Form?

A paper sheet lives in one place and fills up with the first people who walk past it. A Google Form takes forty signups for a row that needed two, and you find out in the spreadsheet. An online sign-up sheet closes each row when it's covered, sends a reminder the day before, and gives every person a link to cancel so the spot reopens. See the side-by-side with Google Forms.
