How to set it up
A community theater run is six to ten performances over two or three weekends, and each one needs the same front-of-house crew: a house manager, four ushers at the doors, two people in the box office for will-call and walk-ups, and two or three on concessions through intermission. Then strike, the Sunday after closing, which needs a dozen people and a truck. Post every performance as its own section with those jobs under it, and put the call time on the rows, because ushers arrive an hour before curtain and the box office opens forty-five minutes out.
The mistake is a different link for every performance, so the volunteer who worked opening night never sees that the second Saturday matinee is short. One tip: write 'you'll see the show from the back row' on the usher rows. Ushers seat the house and then watch for free, and once the row says so it fills before anything else on the page.
Questions people ask
- The house manager, the box office lead and the producer each run their own piece. Can they all manage the page?
- Yes. Add each as a co-organizer. They put people on their rows, check volunteers in on the night and email their own list, and the producer sees every performance on one page.
- We need volunteer hours for the grant report. Does it count them?
- Every shift a volunteer signs up for and is checked in on counts. The hours report lists each person's total across the run, exportable as CSV, with a printable letter per volunteer for the ones who need one for school or work.
- Next show, same crew?
- Copy the page. The performances move to the new dates, the roles and counts stay, and the ushers from this run get the new link in one email from the page.
Why not a paper sheet or a Google Form?
A paper sheet lives in one place and fills up with the first people who walk past it. A Google Form takes forty signups for a row that needed two, and you find out in the spreadsheet. An online sign-up sheet closes each row when it's covered, sends a reminder the day before, and gives every person a link to cancel so the spot reopens. See the side-by-side with Google Forms.
