How to set it up

A game-day potluck has a short, well-known menu, and the trouble is never variety, it is doubles. Everyone brings chips and nobody brings the chili. The sheet is a food list with a count on each row: three trays of wings, two pots of chili, four dips, two trays of sliders, a veggie tray so someone can say there was one, and the drinks and ice. Then two small jobs, setting up the TV and chairs before kickoff and the cleanup at the final whistle, each with a number.

The mistake is a text thread where the question 'what should I bring?' is answered by whoever reads it last. One tip: split the hot food into two waves on the sheet, kickoff and halftime. The wings that arrive at 5:30 are cold by the third quarter, and a second tray that shows up at halftime is the best thing that happens at the party.

Questions people ask

How much food for 25 people?
About one tray or dish for every three to four guests, plus the drinks. The counts above feed 25 with leftovers. Put the number on each row and it closes when the dish is claimed, so the ninth bag of chips never happens.
Do my friends need an account to sign up?
No. Send the link in the group chat, they tap a dish, type a name and email, and get a confirmation. The reminder the day before comes on its own, which matters when the wings are still in someone's freezer.
What if the chili person drops out on Saturday?
They cancel from the link in their confirmation, the dish reopens with a still needed line, and you email everyone on the page. Someone always has a slow cooker and three cans of beans.

Why not a paper sheet or a Google Form?

A paper sheet lives in one place and fills up with the first people who walk past it. A Google Form takes forty signups for a row that needed two, and you find out in the spreadsheet. An online sign-up sheet closes each row when it's covered, sends a reminder the day before, and gives every person a link to cancel so the spot reopens. See the side-by-side with Google Forms.
