How to set it up

A carpool sheet for a sports team is one row per game or practice: who's driving there, who's driving back, and how many seats they have. Away games need more cars than home games, so put the address and the drive time in the row description. Families claim a game, say how many kids they can take, and the team parent can see at a glance whether Saturday's tournament has enough seats.

The mistake is doing it in the group chat, where 'I can drive Saturday' disappears under forty messages about uniforms. One tip: ask for seat count at signup with a question, and set the row's number to the number of kids who need rides, not the number of cars. Then the row closes when every kid has a seat.

Questions people ask

How do we track seats instead of cars?
Set the row's quantity to the number of kids who need a ride and let each driver say how many they'll take. The row shows seats filled versus needed and closes when every kid is covered.
What should we ask drivers?
How many seats, a phone number, and whether they're staying for the game. A checkbox for 'I have booster seats' helps for younger teams.
Do drivers get a reminder?
Online sheets send one the day before with the game and address. If someone cancels, the seats reopen and the team parent gets a heads-up. That's the part a group chat can't do.

Why not a paper sheet or a Google Form?

A paper sheet lives in one place and fills up with the first people who walk past it. A Google Form takes forty signups for a row that needed two, and you find out in the spreadsheet. An online sign-up sheet closes each row when it's covered, sends a reminder the day before, and gives every person a link to cancel so the spot reopens. See the side-by-side with Google Forms.
