How to set it up

Every youth team runs on a few parents who said yes early. The jobs are the same every season: a team parent who runs the roster and the group chat, someone on the snack schedule, someone taking photos for the end-of-season slideshow, someone making the banner, a family to host the party, and a couple of drivers for away games. Put them on one sheet, post it at the parent meeting, and ask every family to take one.

The mistake is the coach asking for a team mom in front of everyone and getting silence. On a sheet, a parent who can't do Saturdays takes the banner or the trophy collection instead, and the quiet family who never speaks up takes photos. One tip: write the time each job takes in the row, like 'photographer: one game plus an hour on the slideshow', so the small jobs look small.

Questions people ask

Does the snack schedule go on this page too?
Keep it separate. The snack coordinator builds the snack schedule page with one row per game, and this page stays the season jobs. Two links, two short pages, and nobody scrolls past fourteen games to find the banner row.
How does a parent know they signed up?
They get a confirmation email the moment they take a job, with a cancel link if plans change. If they cancel, the job reopens on the page and the team parent can email everyone on the page to refill it.
Can we use it again in the spring?
Yes. Copy the page for next season, fix the dates, and send the new link at the first practice. The jobs carry over empty, ready for the new roster.

Why not a paper sheet or a Google Form?

A paper sheet lives in one place and fills up with the first people who walk past it. A Google Form takes forty signups for a row that needed two, and you find out in the spreadsheet. An online sign-up sheet closes each row when it's covered, sends a reminder the day before, and gives every person a link to cancel so the spot reopens. See the side-by-side with Google Forms.
