How to set it up
A volunteer shift schedule is a rota, not an event: Wednesday sorting, Thursday to Sunday floor shifts, the same every week. Build one week properly, with real times and how many people each shift needs, and let it roll forward. Volunteers claim the shifts they can make, get a confirmation with a cancel link, and a reminder the day before.
The organizer's job becomes watching the gaps. The dashboard shows what's open this week, and one click copies the open shifts into a message for the group chat. Every completed shift is logged per volunteer, so the hours report for the board or the grant is a download, not a reconstruction.
Questions people ask
- Do I have to rebuild the schedule every week?
- No. Set the schedule to roll forward and it adds the next weeks by itself, keeping the same shifts and counts.
- Can volunteers claim a standing weekly shift?
- They sign up for each week they can make, which keeps the list honest. Regulars take a minute a month to claim their usual slots.
- How do hours work?
- Every shift someone signs up for and doesn't cancel counts. The hours report lists each volunteer's total, exportable as CSV, with a printable verification letter per person.
Why not a paper sheet or a Google Form?
A paper sheet lives in one place and fills up with the first people who walk past it. A Google Form takes forty signups for a row that needed two, and you find out in the spreadsheet.
