How to set it up

A soup kitchen runs the same three shifts every service day: prep in the morning, the serving line at meal time, and cleanup after. Each has a head count that doesn't change much. The sheet should be one list per week with those shifts on each service day, extended forward a month at a time, so regulars can claim their standing shift and new people can see exactly which Tuesday is short.

The mistake is a paper calendar in the kitchen that only the people already there can see. The gaps show up the morning of. Online, you can share a link that shows only the open shifts and send it to the whole volunteer list on Sunday night. One tip: keep the head count honest. If prep works with four, ask for four, and volunteers will trust the number when you say a shift is short.

Questions people ask

How do we keep regulars on their shift every week?
Add them to every week at once from your side, then share the open shifts with everyone else. Regulars get a reminder the day before like anyone else, and their spot reopens if they cancel.
What if a shift is short the morning of?
You'll see it the night before, not the morning of, if the sheet shows coverage. Share the link that shows only open spots to your list and someone usually takes it. Have a text list of the people who've said 'call me if you're stuck'.
Can groups sign up together?
Yes. A church group or a company team can claim a whole serving shift. Ask for a group name at signup with a text question so you know who to expect.

Why not a paper sheet or a Google Form?

A paper sheet lives in one place and fills up with the first people who walk past it. A Google Form takes forty signups for a row that needed two, and you find out in the spreadsheet.
