How to set it up

Holiday food box packing is a factory day run by volunteers. A line of eight or ten stations, each person adding one item to the box as it goes by, a load-out crew stacking pallets, a forklift moving them, and trucks taking them out. Most groups pack over two or three Saturdays, so the sheet should be one list per day with a morning line, an afternoon line and a load-out crew, each with a real head count. The equipment roles, forklift and truck, go on their own list because they need a certification or a license and the same people usually do every date.

The mistake is 'sign up for a packing day' with no number. Forty people show up for a line that holds sixteen, and the rest stand around. Put the count on the line and let the sheet close it. One tip: church groups and companies will take a whole line as a team. Ask for a group name at signup and let one person claim sixteen spots.

Questions people ask

Who can run the forklift?
Only someone with a current certification, and your insurance will say the same. Add a checkbox at signup, 'I am forklift certified', and only assign the forklift role to people who checked it. Everyone else stays off the dock, and say so on the page.
Can kids volunteer?
Usually 12 and up on the line with an adult, and nobody under 16 near the dock or the pallets. Say so on the page. It's easier than turning a family away at the door.
Can a company or church group take a whole shift?
Yes. Ask for a group name at signup. One organizer can claim a full line for their team, and you see the group name next to each person.

Why not a paper sheet or a Google Form?

A paper sheet lives in one place and fills up with the first people who walk past it. A Google Form takes forty signups for a row that needed two, and you find out in the spreadsheet.
