How to set it up

A tree lot is open every day for four weeks, which makes it the hardest volunteer schedule a club runs. The sheet lists each day's shifts with a headcount, and because it rolls forward week by week, the chair sets it up once and sends the link, not a new sheet every Sunday night.

Weekday evenings need three; Saturdays need four per shift plus two strong people for netting and loading. Keep a cashier row separate so there is always someone at the register, and a delivery row for the two members with trucks. The page shows the lot chair which evenings are still short a week out.

Questions people ask

Four weeks of daily shifts is a lot of rows. Do I build every week?
No. Build one week and set the page to roll forward weekly. Each new week appears with its shifts empty, and the people who took a regular shift can be re-invited with one message.
Can a troop or a family take a whole shift?
Yes. One person can sign up for more than one spot, and the organizer can add a group by hand. Put 'Troop 12' in the name if you like.
What about weather?
If you close the lot for a night, delete that night's shifts and everyone on them gets an email. Reminders go out the day before each shift either way.

Why not a paper sheet or a Google Form?

A paper sheet lives in one place and fills up with the first people who walk past it. A Google Form takes forty signups for a row that needed two, and you find out in the spreadsheet. An online sign-up sheet closes each row when it's covered, sends a reminder the day before, and gives every person a link to cancel so the spot reopens. See the side-by-side with Google Forms.
