How to set it up
A holiday light show runs every night for a month and needs the same eight to ten people each night. Most shows fill it by giving each night to a group: a church, a scout troop, a company team. The sheet is built for that, with per-night rows a group leader can fill in one go, and single spots for the nights no group took.
Setup is the other half: two or three weekends in November of running cord, hanging displays and testing. Those rows take ten at a time and want the people who know a ladder. Put them at the top in October so they fill before the nightly rows go out.
Questions people ask
- A group wants to take a whole night. How?
- The group leader signs up once for each spot that night, or the organizer adds the group by hand from the People page. The night shows as covered and other groups pick a different one.
- Do we rebuild the schedule each week?
- No. Set the page to roll forward and the nightly rows reappear week by week. Volunteers who took Tuesday can be asked again by text or email.
- Can we embed it on the light show's website?
- Yes, there's an embed code, and a printable flyer with a QR for the gate.
Why not a paper sheet or a Google Form?
A paper sheet lives in one place and fills up with the first people who walk past it. A Google Form takes forty signups for a row that needed two, and you find out in the spreadsheet. An online sign-up sheet closes each row when it's covered, sends a reminder the day before, and gives every person a link to cancel so the spot reopens. See the side-by-side with Google Forms.
