Most schools end up with sign-up sheets scattered across personal accounts. One teacher uses a free tool with ads on it, another has a spreadsheet, the office has a paid account that three people share a password for. When a teacher leaves, their sheets leave with them.
A school technology administrator asked us for the opposite: one account for the whole school, every teacher with their own pages under it, staff added and removed automatically, and one bill. This is how that works.
One admin, every teacher
The school holds one admin account. Each teacher and staff member has their own account under it, and nothing is billed to them. A teacher's sign-up pages are theirs: other teachers don't see them. The admin sees a list of every page in the school, with what is covered and what is still short, which is the view an office needs the week before conferences.
Removing someone from the school never deletes their work. They keep their account and their pages move to the free plan.
Staff come from your Google Workspace
Schools have a problem most organizations don't: students share the staff email domain. "Anyone with a school address can join" would let every student in.
So membership follows a staff organizational unit, not the domain. Your Workspace admin pastes one small script into Google Apps Script, points it at the staff OU, and sets it to run each night. New hires appear in the school account; people who leave the OU, or whose Google account is suspended, are removed on the next run. Staff sign in with Google or with an emailed link. There is no password to manage.
The setup guide has the whole script and takes about ten minutes. If you'd rather not run a script, you can paste a list of addresses or import a CSV, and it checks every row against your domain before adding anyone.
Templates every teacher copies
The office builds the parent-teacher conference page once: the days, the slot length, the question that asks for the student's name. They share it as a school template. It appears on every teacher's dashboard with a "Make my copy" button, and each teacher gets their own page with their own slots and their own families. Nobody shares a spreadsheet tab, and next term the office updates one template instead of forty pages.
The same goes for class party sheets, field trip chaperones and the staff luncheon. See an example of a teacher's page at a made-up school.
What parents see
A link. They pick a conference time or an item to bring, type a name and an email, and they are done. No account, no app, no ads. They get a confirmation, a reminder the day before, and a link to change their time, which reopens the slot for another family.
What it costs
$1,000 a year for the whole school, every teacher and staff member included. If the school already pays for another sign-up tool, you can use JustSignup free until your next fiscal year starts, so you never pay for two at once, and we move your existing sign-up pages over for you.
Ask for a school account and the founder will set it up with you.
