A PTA volunteer coordinator asked us a simple question this week: could all of the year's events go on one page? Hearing screening, fall festival, book fair, holiday party, Christmas wrapping day. Multiple events, multiple spots, one link.
Yes. Here is how it works and why it beats one sheet per event.
The problem with one sheet per event
Each sheet goes out separately, in a separate email, and the same dozen parents see it first every time. Everyone else sees it after the good spots are gone, or never. By November there are five links floating around the group chat and nobody, including the coordinator, is sure which one is current.
One page, one card per event
On JustSignup a page can hold as many events as you like. Each becomes its own card with the date on it. A parent opens the page, sees the season at a glance, taps the event they can help with, picks a shift or a thing to bring, and signs up once at the bottom. One confirmation email lists everything they chose. A reminder arrives the afternoon before each shift naming just that shift.
A fall with five events and sixty-odd spots still reads fine on a phone, because everything is folded until you open it.
Every event still gets its own link
The flyer on the bulletin board needs a QR code that goes to the book fair, not to a page of seven events. Every event on the page has its own link that opens the page with only that event expanded. The newsletter links to the whole year. The flyer links to the book fair. Same page, same list of volunteers.
The board runs it together
Whoever runs the book fair edits the book fair. Co-organizers see the same page, the same volunteers and the same open spots, so the coordinator stops being the bottleneck. The whole thing can also sit inside the PTA website, with a one-line embed that sizes itself.
What it costs
One live page with up to 30 volunteers is free, which covers a single event. A PTA season needs Pro: $9 a month, or $79 a year on one invoice a treasurer can reimburse, for unlimited volunteers, every page you run, co-organizers and the hours report for the year-end meeting.
If you'd like the season built for you from your event list, email support with the dates. It takes a day.
