Food pantry volunteer scheduling: see the gaps before they're a problem

A pantry's volunteer problem is not finding people. It's knowing, on Tuesday, that Thursday's distribution is two people short.

Same shifts, every week

Most pantries run the same pattern: a sorting shift, one or two distribution shifts, maybe a delivery run. Set up one week on a page, then extend it forward four or eight weeks in a click. Volunteers claim what they can across the whole month.

The coverage view

Every shift shows filled versus needed. Short shifts are amber. On Monday morning, the coordinator gets one email listing every open spot in the next seven days, with a link that shows only those spots. Paste that link in the volunteer group chat and the gaps fill themselves.

Reminders and cancellations

The day before a shift, each volunteer gets one email. If they cancel, the spot reopens and the coordinator knows immediately instead of at the door.

Reporting

Export a CSV of every signup, with check-in times if you use the check-in page, for the grant report or the board meeting.
